Import Historical Order Import
This Feature helps us to import historical orders into system through data import.
We have 2 steps to import historical order for customer.
- STEP 1: Load orders history for customers without affecting inventory and G/L.
- STEP 2: Load orders history for customers with affecting GL but not inventory.
To import historical order for customer, we need to Log on to groupfio ERP the home screen appears as below:
In Home screen, select Order Management module.
Once user select order Management module, the page will navigate to Order management home screen:
In Home screen, select “Historical import” tab in left navigation menu bar. The page will redirect to historical order import screen:
Before initializing the process, download excel feed file from system. To download excel feed file click on download link in upload file section:
Once valid data preparation has been done by user in Excel feed file, we can start historical import process for customer:
STEP 1: Load order history for customers without affecting inventory and G/L.
To load STEP 1 we have 2 steps:
- Upload file into the system
- Execute the service for historical order import.
Upload File into the system:
To upload file we need to choose excel feed file from system and click on Upload button:
Once file has been uploaded successfully, the system should display order header lines and order item lines counts as “Not processed” then we need to execute service. For executing service select “Without GL Posting “(for import orders to customer without affecting GL and inventory) from dropdown and click on DataImportorders button.
Once user click dataImportorders button, the page will navigate to Run import screen, in run import screen click on “Run import” button to execute service:
Once service has been executed successfully, the system should display order header lines and order item lines counts as “processed”.
To view imported order, we need to select sales module. In sales home screen click on Find order in left navigation menu bar the page will navigate to find order screen.
To view imported order enter order id, which we used in excel import file in External id field and click on find order button.
Click on Order id In GWT it will navigates to view order screen. In view order screen we can view order status as “Completed” with invoice no.
There no inventory reservation happens for imported orders.
To view Invoice status goto to finance module. Click on receivable tab in top widgets, and click on find invoice tap in left navigation menu bar, it will redirects to find invoice screen.
In find sales invoice screen enter invoice id and select status as “ready for posting”.
STEP 2: Load orders history for customers with affecting GL but not inventory
To load STEP 1 we have 2 steps:
- Upload file into the system
- Execute the service for historical order import.
Upload File into the system:
To upload file we need to choose excel feed file from system and click on Upload button:
Once file has been uploaded successfully, the system should display order header lines and order item lines counts as “Not processed” then we need to execute service. For executing service select “With GL Posting options “(for import orders to customer with affecting GL) from dropdown and click on Data Import orders button.
Once user click data Import orders button, the page will navigate to Run import screen, in run import screen click on “Run import” button to execute service:
Once service has been executed successfully, the system should display order header lines and order item lines counts as “processed”.
To view imported order, we need to select sales module. In sales home screen click on Find order in left navigation menu bar the page will navigate to find order screen.
To view imported order enter order id, which we used in excel import file in External id field and click on find order button.
Click on Order id In GWT it will navigates to view order screen. In view order screen we can view order status as “Completed” with invoice no.
To view GL posting for imported order:
Goto Financials module, Click on reports tab in top widgets it will redirect to account activity details screen:
In account activities details screen, Enter party id manually or select from Vlook up find screen, else enter invoice id and click on find screen:
